Privacy Policy

Last updated: March 2025. MindCore is operated as a nonprofit product effort; an early version was showcased at the AI GENIUS Olympiad.

1. Introduction

MindCore ("we", "the Service") is a mental health support product from a nonprofit foundation: practical AI tools with structured safety layers and user-focused design. This Privacy Policy describes how we collect, use, store, and protect information when you use the Service. We are committed to transparency and to handling your data in line with our product and safety goals.

2. Information We Collect

When you use MindCore we may collect: (a) account and profile information you provide (e.g. email if you sign in); (b) conversation content and mood or journaling data you enter; (c) usage data such as how you interact with the app; and (d) technical data (e.g. device type, approximate location if provided by your browser). Conversation and mood data are used to personalise your experience and to operate our AI pipeline (including routing, response generation, and optional long-term memory as described in our product documentation).

3. How We Use Your Information

We use your information to provide, maintain, and improve the Service; to run our AI models (e.g. fine-tuned CBT response, crisis routing, memory evaluation); to protect safety and enforce our terms; and, in anonymised or aggregated form, for product improvement and evaluation. We do not use your personal conversations for marketing or sell your data to third parties. Crisis-related interactions are handled with additional care and are architecturally excluded from long-term memory storage.

4. Storage and Security

Data is stored using our chosen infrastructure (e.g. Supabase, vector storage for memory). We apply reasonable technical and organisational measures to protect your data. Because MindCore is an early-stage service, we cannot guarantee absolute security; we recommend you do not share highly sensitive information that could harm you if disclosed.

5. Data Retention

We retain your data for as long as needed to operate the Service and to fulfil legal obligations and service operations. Some data (e.g. selected long-term memory embeddings) may be kept to personalise your experience across sessions. You may request deletion of your account and associated data; we will honour such requests subject to applicable law and operational requirements.

6. Sharing and Third Parties

We may share data with service providers that help us run the Service (e.g. cloud hosting, AI APIs). Such providers are bound by confidentiality and data-processing obligations. We may disclose data if required by law or to protect rights, safety, or the integrity of the Service. We do not sell your personal data.

7. Your Rights

Depending on where you live, you may have rights to access, correct, delete, or port your data, or to object to or restrict certain processing. To exercise these rights, contact us through the channels provided. We will respond within a reasonable time. You may also stop using the Service at any time.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version and, where appropriate, notify you. Continued use of the Service after changes constitutes acceptance of the updated policy. The "Last updated" date at the top indicates the latest revision.
